1. Who we are

ReadySet is operated by NextStep Business Solutions T/A ReadySet (“ReadySet”, “we”, “us” or “our”).

For the purposes of the General Data Protection Regulation (GDPR) and applicable Irish data protection law, NextStep Business Solutions T/A ReadySet is the data controller for the personal data described in this Privacy Policy.

ReadySet provides project funding research and Funding Roadmaps to businesses, sports clubs, community organisations, charities, voluntary groups and other organisations.

If you have any questions about this Privacy Policy or how we use your personal data, you can contact us at:

Email: hello@readyset.ie

Phone: 086 825 5479

2. What information we collect

Depending on how you use ReadySet, we may collect the following information.

Contact information

Your name, email address, telephone number and the name of the business, club, organisation or other entity you represent.

Project and funding information

Information provided through our Check My Project questionnaire or otherwise supplied to us. This may include:

  • the nature and location of your project;

  • estimated project costs;

  • the amount of funding required;

  • available own funds or other funding;

  • project timing and stage;

  • planning permissions or other approvals;

  • information about your organisation;

  • proposed works or investment; and

  • other information reasonably required to assess potential funding routes.

Contact and correspondence

Information contained in emails, contact-form submissions, telephone enquiries and other communications with ReadySet.

Payment and transaction information

Information relating to your purchase, including the service purchased, amount paid, transaction date and payment status.

Payments are processed through Stripe. ReadySet does not receive or store your full debit or credit card number, security code or other complete payment-card credentials.

Website information

Our website provider and associated technologies may process information such as your IP address, browser type, device information, pages visited and technical information required to operate and secure the website.

3. How your project questionnaire is processed

ReadySet uses Tally to provide the Check My Project questionnaire.

When you complete the questionnaire, the information you submit is processed through Tally so that it can be provided to ReadySet for assessment.

ReadySet determines what project information is requested and how it is used and is therefore the data controller for the questionnaire information. Tally acts as a data processor in providing the form service.

We use questionnaire information to assess your project, research potentially relevant funding routes and prepare your Funding Roadmap.

Please do not provide sensitive personal information about yourself or another person unless it is genuinely necessary for us to provide the service.

Tally states that form data is encrypted in transit and at rest and stored in Europe.

4. How we use your information and our lawful bases

We use personal data only where we have a lawful basis for doing so.

To assess your project and prepare your Funding Roadmap

We process the information you submit because it is necessary to provide the service you have requested and to perform our contract with you or take steps at your request before entering into that contract.

To process and administer your order

We use order, contact and transaction information to administer your purchase, deliver your Funding Roadmap and deal with queries relating to the service.

The principal lawful basis is performance of our contract with you.

To respond to enquiries

Where you contact ReadySet before purchasing a service, we use the information you provide to respond to your enquiry.

Depending on the circumstances, this processing is based on taking steps at your request before entering into a contract and/or our legitimate interest in responding to genuine business enquiries.

To maintain business, accounting and transaction records

We retain appropriate records where this is required to comply with our legal, tax and accounting obligations.

To operate and secure ReadySet

We may process limited technical and usage information where necessary for our legitimate interests in operating, maintaining and protecting the ReadySet website and services.

Cookies and non-essential analytics

Where consent is legally required for cookies or similar technologies, those technologies will only be used after the required consent has been obtained.

5. Information you need to provide

Certain information is necessary for ReadySet to provide a meaningful Funding Roadmap.

If you do not provide sufficient project, contact or payment information, we may be unable to complete the assessment or provide the requested service.

You are responsible for ensuring that the information you provide about your project is accurate to the best of your knowledge.

6. Human review and automated decision-making

ReadySet does not use solely automated decision-making to determine the funding opportunities recommended in a Funding Roadmap.

Digital and research tools may be used to assist with administration, analysis and preparation, but every Funding Roadmap is individually researched and reviewed before it is issued.

No funding approval, eligibility decision or lender decision is made by ReadySet on behalf of a grant provider, lender or other funding body.

7. Who we share information with

We do not sell your personal data.

We use trusted service providers where necessary to operate ReadySet. These include:

Squarespace

Used to host and operate the ReadySet website.

Tally

Used to provide and process the Check My Project questionnaire.

Stripe

Used to process payments securely.

Email and communications providers

Used to communicate with you and deliver your Funding Roadmap.

Professional advisers and service providers

Information may be disclosed to accountants, legal advisers, IT/security providers or other professional advisers where reasonably necessary for the operation or protection of the business or to comply with legal obligations.

We may also disclose information where required by law, court order or a competent public authority.

Important

ReadySet does not provide your project information to lenders, grant providers or other funding bodies as part of the Funding Roadmap service unless you separately ask or authorise us to do so.

8. Stripe and payment information

Payments for ReadySet services are processed using Stripe.

Stripe receives the information necessary to process your payment and may process transaction, device and fraud-prevention information in accordance with its own legal and regulatory obligations.

Stripe may act as a processor on ReadySet's behalf for certain payment-processing activities and as an independent controller for activities such as fraud prevention, security and compliance with financial regulation.

ReadySet does not store your complete payment-card details.

Stripe's European operations include Irish Stripe entities, and Stripe maintains data-processing and international-transfer arrangements for its services.

9. International transfers

ReadySet is based in Ireland, but some of the technology providers and subprocessors used to operate the service may process personal data outside the European Economic Area (EEA).

Where personal data is transferred outside the EEA, appropriate safeguards are used where required by law. These may include:

  • a European Commission adequacy decision;

  • participation in an approved data-transfer framework; or

  • Standard Contractual Clauses approved by the European Commission together with any additional safeguards required.

Squarespace and Stripe publish information regarding the safeguards used for international data transfers. Tally is based in Belgium and states that Tally form data is stored in Europe, although some of its subprocessors may operate in other jurisdictions.

10. How long we keep your information

ReadySet does not keep personal data indefinitely.

Our normal retention approach is:

  • General enquiries that do not proceed to a service

    Normally retained for no longer than 12 months after the last meaningful communication.

  • Tally questionnaire submissions

    Once the information required for the client record has been securely retained by ReadySet, questionnaire submissions held in Tally will be periodically deleted when they are no longer required for delivery of the service.

  • Funding Roadmaps, project records and related correspondence

    Normally retained for up to 6 years after completion of the service, where reasonably required for business, contractual, accounting or legal purposes.

  • Payment, invoice and accounting records

    Retained for the period required by applicable Irish tax, accounting and legal obligations.

At the end of the applicable retention period, information will be securely deleted or anonymised unless there is a lawful reason to retain it for longer.

11. How we protect your information

ReadySet takes reasonable technical and organisational measures to protect personal data against accidental loss, unauthorised access, alteration, disclosure or destruction.

Access to client and project information is restricted to those who require it for legitimate business purposes.

Project and client records retained directly by ReadySet are stored using privately controlled systems with appropriate access and security measures.

Third-party providers such as Squarespace, Tally and Stripe maintain their own security measures for information processed through their services.

No method of transmitting or storing information electronically can be guaranteed to be completely secure.

12. Your data protection rights

Subject to the conditions and exceptions in applicable data protection law, you may have the right to:

  • request access to personal data held about you;

  • request correction of inaccurate or incomplete data;

  • request erasure of your personal data;

  • request restriction of processing;

  • object to certain processing;

  • receive certain personal data in a portable format;

  • withdraw your consent where processing is based on consent; and

  • lodge a complaint with a supervisory authority.

To exercise a data protection right, contact:

15. Information about other people

If you provide personal information about another person when completing a project questionnaire or contacting ReadySet, you should ensure that you are entitled to provide that information.
